1. The same task happens weekly (or daily) without changing

If a task follows the same steps every single time — a report, a data transfer, a follow-up sequence — it’s a strong automation candidate. Automation is best at consistency, not judgment calls.

2. Someone has to remember to do it

Tasks that depend on a person remembering are the ones most likely to get missed under pressure. If a missed follow-up or a late report has real consequences, that’s a sign the process shouldn’t depend on memory anymore.

3. Your team is copying data between two systems

Any time someone re-types information that already exists somewhere else — a form into a spreadsheet, a spreadsheet into an invoicing tool — that’s a direct line for an automation to connect the two systems instead.
